2) Ask for the Necessary Documents
Request the HELLO TAX FREE form, the receipt, and the invoice from the store.

When filling out the form, please keep the following in mind:

The buyer's name must be written exactly as it appears on the invoice and on their identity documents.

The bank account provided on the form must belong to the exact person who made the purchase.

If you wish to use someone else's bank account, a notarized power of attorney is required. Through this document, the buyer authorizes the third party to receive the VAT refund.

3) Document Validation at Customs
Don't forget the customs stamp! When leaving the country, the customer must present their purchased goods and all documents for validation.

For the VAT refund to be processed, the following are mandatory:

The customs stamp applied to the HELLO TAX FREE form, the invoice, and the receipt.

The customs registration number, written on the form.

These validations confirm that the goods have left the European Union and are absolutely essential for processing your refund.

 

4) Send the Documents to HELLO TAX FREE
After customs validation, you can submit the documents using any of the following methods:

✔ Submission Options:

• In person, at the Information Center in Iulius Town, during your next visit.

• By mail or courier, to the address: Piața Consiliul Europei, nr. 2, Timișoara, Timiș, 300627.

• Documents can be submitted within 12 months from the invoice issuance date.

✔ Required Documents:
The customer must bring or send the following:

• The original HELLO TAX FREE form.

• A copy of the invoice (specifically, a copy of the invoice previously validated by customs).

• The store receipt (copy only).

• The POS card terminal receipt, if available (copy only).

 

5) Receive Your VAT Refund (with only a 5% commission)
Once the documents are processed, the customer will receive the refund amount directly into their bank account within approximately 7 to 15 business days from the date the documents were received.

For efficient processing, please fill out the refund form legibly, without any erasures or alterations. Make sure to provide correct and complete contact information (phone and email), as well as accurate bank details.
